The Department of Conservation & Recreation is seeking a qualified Administrative & Office Specialist III. This position provides direct confidential support to the Agency Deputy Director and Division's Business and Administration Manager as well as general administrative support to the staff of the Division of Soil and Water Conservation in carrying out program, fiscal, clerical, and procurement responsibilities.
Duties include but are not limited to: providing administrative support related to completion of travel registrations and assisting with travel vouchers; reconciling division revenue and expenses for review/approval for the Business Administration Manager; submitting and processing payments timely to finance; maintaining division files; and compiling and submitting information for reports. The incumbent of this position will also be responsible for preparing correspondence, letters, and bulk mailings, and ensuring information is accurate and grammatically correct; preparing monthly small purchase card (SPCC) logs for supervisors' review; ensuring SPCC coding is accurate; and processing orders in eVA. This position coordinates onboarding and orientation of newly hired staff in accordance with new hire checklist and the separation of staff. The position oversees the Division telecom inventory, reconciles phone bill and other payments, and ensures supporting documentation is included in submissions for approval. The incumbent of this position must also attend all mandatory computer training to perform the essential functions of the position.
Minimum Qualifications
Considerable previous demonstrated work history which shows knowledge/skills in the operation of web-based applications that manage documents, Microsoft Office software (Excel, Outlook, Word), and a variety of office equipment such as computers, printers, copiers, and calculators. Previous demonstrated work history creating and maintaining document flow, maintaining and compiling information for logs/files, and experience drafting/formatting letters and processing bulk mailings. Previous demonstrated work history reconciling expenses/payments and processing invoices; previous demonstrated work history interpreting and applying information to complete administrative processes; previous demonstrated work history providing customer service and communicating effectively orally and in writing with staff, executives, and the public.
Preferred Qualifications
Demonstrated work history and knowledge of the Commonwealth of Virginia's SPCC and SWaM procedures and processes. Knowledge of Commonwealth's purchasing procedures/policies and eVa.
