THE DIVISION
The Division of Virginia State Parks fulfills its mission “to conserve the natural, scenic, historic and cultural resources of the Commonwealth and provide recreational and educational opportunities consistent with the good stewardship of these lands, waters and facilities that leaves them unimpaired for future generations” by operating a system of 41 state parks that encompass over 75,000 acres; over 1200 buildings, almost 1700 campsites; over 300 cabins; over 700 miles of trails; nearly 500 miles of shoreline; 36 lakes and ponds; 11 swimming beaches; 4 international dark sky sites, and offers over 20,000 educational programs and workshops each year.
Managed by a full-time staff of 275 and a wage staff of 1000+ during the prime season, Virginia’s award-winning state park system boasts an incredible and diverse array of natural, cultural, historical and recreational resources; including parks in the mountains; on the ocean; on the Chesapeake Bay; on 8 major rivers; on 4 major lakes; 4 rail trails; and 3 battlefield sites, and 32 sites listed on the National Historic Registry. THE OPPORTUNITY
The Executive Assistant Position supports the Director of the State Parks Division and the Park Leadership Team. The ideal candidate will be a proactive problem solver with exceptional organizational and communication skills and a meticulous attention for details. This person should have experience working in an office environment, performing administrative duties and providing support to high-level managers. Some travel will be required.
Duties of this position include:
• Provide administrative support the Director of the State Parks Division and provide additional support to Parks Leadership Team members, as directed, to ensure that division goals and objectives are accomplished and that operations run efficiently
• Manage professional scheduling and correspondence for the Director of State Parks including agendas, mail, email, phone calls, and other logistics
• Develop presentations and written reports
• Coordinate complex scheduling and calendar management, as well as content and flow of information
• Coordinate Parks Leadership Team meetings and travel logistics, including accommodations, meeting supplies, transportation, meals, and the recording of minutes and action items.
• Provide administrative and office support, such as typing, dictation, spreadsheet creation, presentation development, Microsoft Team administration, records management, and maintenance of filing system and contacts database
• Plan and execute improvements to office organization and furniture configurations to support professional appearance, and efficient use of space
• Maintain and update the State Parks Division Vehicle Calendar, schedule central office fleet maintenance appointments and maintenance of agency-owned and feet vehicles assigned to State Parks
• Monitor office supplies and prepares orders as needed or requested; maintain and organize office supply storage area. Manage centralized office equipment such as printers, postage meters, laminators, etc.
• Maintain professionalism and strict confidentiality with all materials.
• Coordinate records management in compliance with state law and administrative code
• Perform other duties as assigned at the discretion of the State Parks Director
Minimum Qualifications
As it relates to MINIMUM qualifications, successful applicants will highlight in their applications:
• Previous work history which demonstrates experience providing administrative assistance to executive personnel to support projects and business operations
• Previous work history demonstrating the ability to effectively communicate orally to provide program information and customer service to diverse levels of internal and external stakeholders
• Considerable experience communicating in writing with the ability to produce correspondence, summaries, documents, agendas, and meeting minutes with appropriate vocabulary, grammar, sentence structure and punctuation
• Experience with management of special initiatives and projects including identifying objectives, performing research, gathering data, and preparing reports and presentations
• Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
• Proficiency with office productivity tools and an aptitude for learning new software systems
• Experience in overseeing budgets and expenses
• Experience in developing internal processes and filing systems
Preferred Qualifications:
As it relates to PREFERRED qualifications, successful applicants will highlight:
• Experience with state procurement procedures and systems.
• Knowledge of state records management.
